This policy outlines our ongoing obligations to you in respect of how we manage your Personal Information.
We have adopted the Australian Privacy Principles (APPs) contained in the Privacy Act 1988 (Cth) (the Privacy Act). The APPs govern the way in which we collect, use, disclose, store, secure and dispose of your Personal Information.

What is Personal Information and why do we collect it?
Personal information is information or an opinion that identifies an individual. Examples of personal information we collect include names, addresses, email addresses, and phone numbers.
This personal information is obtained in many ways including:
- in the course of our research projects
- when you use our website, including cookies
- in administering and performing any contracts with service providers
- when you contact us via telephone, email or other means
- from correspondence (whether in writing or electronically)
- at our events
- through any mobile applications or on-line systems provided by our organisation
- while conducting customer satisfaction and market research surveys
- when administering any of our services; and
- as otherwise required to manage our business.
However, in certain cases we may collect personal information from publicly available sources, and from third parties such as our CRC partners, project participants, suppliers, recruitment agencies, contractors, our clients and business partners.
If we collect personal information about you from a third party we will, where appropriate, request that the third party inform you that we are holding such information, how we will use and disclose it, and that you may contact us to gain access to and correct and update the information.
We collect your personal information for the primary purpose of recruiting and managing research participants, engaging with industry partners and collaborators, administering grants and contracts, and communicating findings or opportunities to our network.
We may also use your personal information for secondary purposes closely related to the primary purpose, in circumstances where you would reasonably expect such use or disclosure.
You may unsubscribe from our mailing/marketing lists at any time by contacting us in writing.
When we collect personal information we will, where appropriate and where possible, explain to you why we are collecting the information and how we plan to use it.
Types of information we collect
We collect your Personal Information for the primary purpose of recruiting and managing research participants, engaging with industry partners and collaborators, administering grants and contracts, and communicating findings or opportunities to our network. We may also use your Personal Information for secondary purposes.
The type of personal information we may collect may vary depending upon the research or specific project being undertaken, but can include your name, postal address, email address, phone numbers, billing information and, if applicable, employment information.
Where it may be necessary to collect sensitive information about you, we will only do so with your consent, or otherwise in accordance with the Privacy Act.
Anonymity and Pseudonymity
Where lawful and practicable, we will provide individuals with the option of not identifying themselves, or of using a pseudonym, when dealing with us. For example, you may make a general enquiry about our services without providing your name.
However, in many circumstances (including participation in research projects, the provision of services, and entry into contracts) we will require you to identify yourself in order for us to fulfil our obligations. We will inform you of this requirement at the time of collection.
Purpose for handling your Personal Information
We only process personal information for purposes that would be considered relevant and reasonable in the circumstances. We collect, hold, use and disclose personal information to:
- fulfil and undertake research projects
- offer and provide you with our services
- manage and administer those services, including account keeping procedures
- comply with our legal and regulatory obligations
- otherwise to manage our business.
We will only use or disclose your personal information for other purposes where you have consented to that use or disclosure, or the use or disclosure is otherwise permissible under the APPs.
Disclosure of Personal Information
Your personal information may be disclosed in a number of circumstances including the following:
- Third parties where you consent to the use or disclosure; and
- Where required or authorised by law.
Third Parties
Where reasonable and practicable to do so, we will collect your personal information only from you. However, in some circumstances we may be provided with information by third parties. In such a case we will take reasonable steps to ensure that you are made aware of the information provided to us by the third party.
We may disclose personal information to third parties such as our project participants, suppliers, organisations that provide us technical and support services or our professional advisors, where permitted by the Privacy Act. We may also disclose personal information to the Commonwealth.
We may disclose personal information to third parties located outside of Australia, such as our project participants, where permitted under the Privacy Act. Our project participants include entities operating out of a number of countries including USA, Germany and Singapore. We therefore may disclose personal information to entities in these countries. We may also disclose personal information to overseas recipients in countries other than those listed.
By providing your personal information to us, you consent to us disclosing your personal information to any such overseas recipients for purposes necessary and useful in the course of operating our business and agree that APP 8.1 will not apply to such disclosures.
If we disclose information to a third party, we generally require that the third party protect your information to the same extent that we do.
Security of Personal Information
Your personal information is stored in a manner that reasonably protects it from misuse and loss and from unauthorised access, modification, or disclosure.
When your personal information is no longer needed for the purpose for which it was obtained or required to be kept by law, we will take reasonable steps to destroy or permanently de-identify your personal information.

AMCRC is subject to the Notifiable Data Breaches (NDB) scheme under Part IIIC of the Privacy Act 1988 (Cth).
In the event of a data breach that is likely to result in serious harm to any individuals whose personal information is involved, we will:
- take immediate steps to contain the breach and assess its nature and scope
- notify affected individuals as soon as practicable, providing a description of the breach, the kinds of information involved, and recommendations for steps individuals should take in response
- notify the Office of the Australian Information Commissioner (OAIC) by submitting a statement in the required form.
Where it is not practicable to notify affected individuals directly, we will publish a notice on our website.

Access to your Personal Information
You may access the personal information we hold about you and to update and/or correct it, subject to certain exceptions. If you wish to access your personal information, please contact us in writing.
AMCRC will not charge any fee for your access request. In order to protect your personal information, we may require identification from you before releasing the requested information.
Maintaining the Quality of your Personal Information
It is an important to us that your personal information is up to date. We will take reasonable steps to make sure that your personal information is accurate, complete and up to date. If you find that the information we have is not up to date or is inaccurate, please advise us as soon as practicable so we can update our records and ensure we can continue to provide quality services to you.
